Is this an online or offline system?
YBO is an online system.
What will happen if there is no internet? How will we use your system?
YBO is an online system, it will always require an internet connection. The good news is that YBO can run at a minumum of 3mbps so mobile data will be sufficient to run the system. Templates are provided at the start of the set-up phase that can be accomplished If internet and mobile data are not available, it can readily be uploaded once internet or mobile data are up and running.
How fast is your system?
It will always depend on your internet connectivity and it only needs 3 Mbps of data.
How secure and stable is the YBO system?
YAHSHUA Books Online is compliant with the Data Privacy Act and uses established servers of Google and Amazon, with reinforced cyber-security protocols.
What are you selling? Service or Software?
We are selling a service. We believe we can better serve our clients by giving them our service instead of just a software.
Is the pricing of your service per user?
No, our pricing is for an unlimited number of users.
How long will the set-up and implementation process take?
Considering the data you provide for the migration and your full cooperation and the employees of your company, the YBO system can be used within a month, with full implementation in 3 to 6 months.
How do you do your implementation?
We will provide you the required template for you to fill-out and set up your company profile in YBO and then train your employees.
Will you provide us the servers?
The online servers are included in our service once you use the system.
Have you done a real-time integration of YBO with other softwares?
No, but it can be done. However, to update your data on other software, you can always do the downloading and uploading of data.
If we use YBO, is it possible to attach a related document to a transaction?
Yes, through the use of our DOCUPIC device, you can capture the document and attach it to the system.
Is the downloading and uploading processes automated or manual?
It is manual because it depends on the reports you want or need to upload or download.
If I give access to my salesman, does it mean he/she can also view everything like for example, confidential info?
No. Anyone can have access to any module only if approved through the system's user rights restrictions.
Can I also give access to a specific module to our customer for ordering process?
Anyone can have access to any module only if approved through the system's user rights restrictions.
How can our delivery men conduct inventory? Do they have to bring a laptop every time?
No need. Part of the package is the use of our inventory mobile app, the YAHSHUA Inventory Counter.
How effective and accurate is your costing method in terms of our use? FIFO (First In First Out) and FEFO (First to Expire, First Out)
We use FIFO (First In, First Out) as our default costing method.
In your sales item details, where can I find in your system the particular item/s which were bought by a particular customer?
You can find it under REPORTS>INVENTORY>SOLD INVENTORY
Do you have a report that shows how many times we served a particular customer?
Yes. It is under REPORTS>INVENTORY>SOLD INVENTORY
Where can I find my daily or monthly expenses?
You can find it under REPORTS>FINANCIAL REPORTS.
Can we personalize our forms?
Yes, you can personalize your forms in YBO. YBO allows you to customize both system-generated and preprinted forms to suit your specific needs.
Can we add an additional category or classifications for my items?
Yes, you can. YBO allows you to add additional field/s for sorting or filtering your items. It maybe be a text, number, date, amount or selection format.
Can we record customer return and other customer miscellaneous deductions?
YBO has Credit Memo module that allows you to apply return of goods and other miscellaneous deductions from revenue.
Is it possible to restrict user access to specific supplier or customer?
Yes, it is possible. Go to the General Settings to restrict the user access.
Is it possible to update the pricelist by import file if the supplier increases price so that there's no need to update each item?
Yes. You can update your pricelist as an import file to update your item info. All you need is the item code.
Can we restrict to show funds to assigned custodian only?
Yes, It is under General Settings > Purchases & Disbursement Tab. Then, check the Show funds by assigned custodian.
Can we add freight/trucking cost of supplier to purchases received?
YBO has a landed cost feature that allows you to add the freight/trucking cost to the purchased item.
Can we reject items, if the supplier delivered more than our purchase order?
You can set it in the settings to allow excess delivery against Purchase Order. By default, YBO will not allow to accept more than the purchase order.
How do we configure advanced filter for inventory so that we can do per supplier?
You can go to Reports >> Inventory >> Receive Inventory to filter the items received from certain supplier. Filtering for expiration report is not yet available.
Can we set a fixed pricing per customer, so the encoder does not need to change it?
Yes. You can activate the Customer or Inventory SRP Restriction found in the General Settings. To set the pricing restriction, just go to Inventory Lists, select the item you want to restrict, click on the dropdown arrow beside the Show Ledger option.
Can we delete all the existing Chart of Accounts and replace it with our own?
Yes, you can. Just make sure that you have not made a transaction that links to the current accounts. You may delete all in the Chart of Accounts Module and use the import Chart of Accounts to upload your new account/s.
For multiple centercode, is it possible to assign specific users to access only one branch/centercode?
Yes, you can. It can be done by setting the access in their user rights.
How do we record customer cash refund and return?
First, record the cash refund to customer in payments on the disbursment side under account with the related subsidiary to customer. Second, the CM or credit memo should be recorded on the sales side. Lastly, both transaction should be record in receipt and collection for offsetting.
Can we delete customer list and vendor list anytime?
Yes, as long as it does not have a related transaction.
Can we delete a certain transaction anytime?
Yes, as long as you were given an access and it does not have a related transaction.
In conducting inventory count, can we automatically entry the actual count in the system even when it is offline?
Yes, we have mobile Inventory Counter Application. You can use it even when you are offline. Then you may sync your actual count when there is available internet connection.
Can we set a default discount per customer and generate summary report of the discount?
Yes, You can set a default customer discount and you can generate discount report for the sold inventory.
Is this a BIR registered system?
No, YBO is not a BIR registered system. It is designed for internal or management reporting purposes, providing you with an accurate view of your business's performance by considering all transactions. While YBO may not be registered with BIR, we are committed to ensuring that YBO is compliant with all applicable laws and regulations.
Can we monitor purchase orders that are not yet delivered by the supplier?
YBO has a Unserved Report that compares the item purchased againts the received items. You can see it under Reports>> Accounts Payable.
What is your advantage from other accounting software?

Can YAHSHUA Books be customized for the unique requirements of our company?
Depending on the complexity of the requirement, requests for customization will undergo an assessment and approval that may or may not have cost implication. Good news is we have our own system engineers, simple tweaking or additional fields are developed for free.
Is YAHSHUA Books and YAHSHUA Payroll integrated?
YAHSHUA Books and YAHSHUA Payroll are not yet integrated. However, you can still download and upload data between the two systems.
Can we restrict printing of forms unapproved transactions?
Yes, you can set what type of transactions you want to restrict in the General Settings.
Can we approve transactions online?
Yes. YBO has an approval feature where you can directly approved the transaction in the system. You can enable email notification to keep track of the transaction's approval status and make use of the systems attachment to review related documents.
How many approvers can approve a transaction?
You can set an unlimited number of Approvers. Any user can approve a transaction if they have been given an Approver access.
Does YBO have a mobile application?
Currently, the avaialble mobile application integrated with YBO is the Inventory Counter App. However, you can still access YBO through your mobile browser.
What type of Clients do you cater?
We have been serving a variety of businesses, including but not limited to Trading, Service providers, Hotels, Restaurants, Construction, Rice manufacturing, Schools, Cooperatives, and Non-profit organizations.
Can you mention some of your clients for reference?
YAHSHUA is in a Non-Disclosure Agreement (NDA) with our clients.
What are the computer requirements to run your system?
These are the minimum requirements to run YBO on different operating softwares and devices: a) Windows PC: Windows 7 or higher, Intel Core i3 with at least 2GB of RAM. b) Mac: OS X "El Capitan" 10.11 or higher. c) Linux operating systems (Ubuntu or Fedora). d) Android: Lollipop or later versions. e) iPhone/iPad: iOS 12.0 or later versions.
